CCV Project Summary
Last updated July 20, 2026

The CEN SGO site completed a full search-visibility pass last week. Titles and meta descriptions are in place across the whole site, structured data was generated for every page and post and validated against Google's testing tool, every image has alt text, and the site is now submitted for indexing with analytics connected. The sandbox also gained its access-expiry mechanism and now passes expired contacts through to the CRM, where a rebuilt reports page brings four views into one place and the team is alerted automatically when a new lead comes in through the site. This week the work moves to the CCV.org rebuild, where Phase 0 of the redesign checklist is underway and the wireframe goes to the client for review. The July 20 session settled the Issues section, which stays on the new site as a resource hub. Communio's placement is the last open question on the structure.

What we need
What we need from CCV.
Open decisions and inputs, and what each one releases.
7 items
What we need Details
1. Fund management reporting requirements The fund management process is confirmed and the weekly reconciliation approach is sound. Two items remain: finance leadership visibility into the donor dashboard, and confirmation of which financial reports must continue after cutover, so the new system is built to produce them. Both are needed before the migration can be scheduled against the Virtuous end date.
2. Communio placement in the CCV.org structure Five of the six redesign decisions were answered on July 16 and the Issues section was settled on July 20. Communio remains open: where it sits in the structure and how it is framed. This is the last item holding the information architecture open, and the wireframe and content plan follow from it.
3. Theodore migration timing and approach About 220 Ohio school profiles need moving onto the new SGO platform. A decision on timing and method is needed, as it runs into the Ohio renewals season and determines whether the platform takes live intake this cycle or next. Once agreed, the migration plan and the school profile completion step can be built together.
4. Wireframe review and sign-off The wireframe turns the approved strategy and sitemap into a content plan for CCV.org. It goes across this week. Sign-off releases build mode, which starts early to mid August ahead of the September 9 relaunch.
5. Issues section content approach The Issues section stays and becomes a resource hub, modeled on the FSI page. A first-pass proposal is being drafted for CCV review. Once agreed, the section is built around what CCV does, what it believes, and citable resources such as data points and graphs.
6. Podcast naming The two-show structure is confirmed and both shows need names. A set of alternatives is coming across for selection. A decision here releases the remaining podcast recommendations.
7. Continuity cover for daily content Daily content currently runs through a single owner. Naming a second person means it continues uninterrupted during absence, and allows that person to be built into the workflow and training from the start.

CCV.org website redesign
In progress
Target September 9

The CEN SGO website is live and complete, and the focus is the full CCV.org rebuild, moving the site from Squarespace to WordPress for a September 9 relaunch. Last week the team worked through Phase 0 of the redesign checklist, continued building out the information architecture site with the changes agreed in the client meetings, cross-checked all references and documentation, and re-crawled the current CCV website to confirm it lines up with the information architecture as it stands. The schedule from here runs in three steps: the wireframe goes across this week for review and sign-off, build mode starts early to mid August, and the site relaunches on September 9. August is when building begins, not when the site goes live. On the structure itself, the Issues section stays. This was settled on July 20: it is kept and reframed as a resource hub, modeled on the FSI page, carrying what CCV does, what it believes, and citable resources such as data points and graphs. A first-pass proposal is being drafted for CCV review. Nothing is deleted in the restructure: older content is archived rather than removed, stays searchable and findable through the footer, and current content moves front and center. Communio's placement in the information architecture is the one decision still open.

Task Owner When Notes
Wireframe client review AIDM This week The wireframe, turning the approved strategy and sitemap into a content plan, goes across this week. Sign-off releases build mode.
Information architecture AIDM In progress The information architecture site is being built out with the changes agreed in the client meetings, and all references and documentation have been cross-checked.
Issues section as a resource hub AIDM and CCV In progress Confirmed on July 20: the Issues section stays and is reframed as a resource hub, modeled on the FSI page. It carries what CCV does, what it believes, and citable resources such as data points and graphs, which is the kind of material news agencies and AI tools already pull from pages like it. A first-pass proposal is being drafted for CCV review.
CCV.org rebuild AIDM Sep 9 Build mode starts early to mid August once the wireframe is approved, for the full rebuild on WordPress and a September 9 relaunch. The August date is the build start, not the launch.
Content archive in the restructure AIDM Sep 9 Nothing is deleted in the restructure. Older content is archived rather than removed, stays searchable, and remains findable through the footer, while current content moves front and center.
Communio placement AIDM and CCV Open One question stays open before the information architecture locks: where Communio sits in the site structure. To be settled with the client.
Redesign decisions confirmed AIDM Done The client answered five of the six outstanding decisions on July 16: the September 9 launch target, the Issues section carried into a follow-up discussion, ownership of the daily newsletter, and Vote for Ohio as a rename of the existing ballot site. The Issues section was settled on July 20 and stays as a resource hub. Communio's placement is the one still open.
Site re-crawl AIDM Done The current CCV website was re-crawled to confirm it lines up with the information architecture as it stands.
Site audit and strategy AIDM Done A page-by-page audit of CCV.org, a competitive analysis of eight peer organizations across twenty-five website features, a website strategy and implementation checklist, and a proposed sitemap from the client's outline. The audit found the current site is about 20 pages deep on only one level with no forward navigation, plus nine connected microsites and subdomains for CCV's other brands, the rationale behind the rebuild.
CEN SGO website AIDM Live Live and complete. The homepage metrics, the video relocation to the Schools page, and the Education Freedom Tax Credit language are all done.
CEN SGO platform
In progress
Build underway

The SGO platform design is accepted and the build is underway, on track to be operational for the October 1 launch. Last week the sandbox gained its access-expiry mechanism, which closes external trial access automatically and passes expired contacts through to the CRM so the CEN team can follow up. CCV and AIDM domains are excluded from expiry, so the internal team keeps standing access. One item is open ahead of the Ohio renewals season: a public URL for schools to complete their profiles. About 220 Ohio schools sit on Theodore, the legacy scholarship tool, and need a migration plan before the new platform can take live intake. That figure is our working number and still needs confirming against your records.

Task Owner When Notes
School profile completion URL AIDM Open A school-profile completion URL for the Ohio renewals season is still open. The new platform is not ready to take live intake yet, and about 220 Ohio schools on Theodore need a migration plan first. AIDM will come back with the approach.
SGO platform build AIDM In progress Build underway on the accepted design, on track to be operational October 1.
Data center preparation AIDM In progress Preparing storage and infrastructure on the data center CCV selected, ready to host the SGO platform.
Theodore data migration AIDM and CCV Planned A migration plan for about 220 Ohio school profiles held on Theodore, moving them onto the new SGO platform ahead of Theodore's December 2026 contract end. Timing and approach need a decision with your team before the plan can be built.
Demo-submission tracker AIDM Planned A wanted feature to track who was sent a sandbox link, whether they logged in, and how many times, to support CEN sales follow-up.
Sandbox access controls AIDM Done The sandbox now closes external trial access automatically, with CCV and AIDM domains excluded so the internal team keeps standing access, and passes expired contacts through to the CRM for follow-up.
SGO sandbox finished AIDM Done Complete with step-by-step guides, a chatbot, tutorial videos, and brand data saved per school.
Sales videos for the CEN team AIDM Done Three AI-generated videos: an introduction, a sandbox demo, and an orientation.
School list and CRM
In progress
Verified school list and CRM

The CEN CRM is live at crm.censgo.org and gained a round of reporting and routing work last week. Sandbox signup and usage data now flows into the CRM, the reports page brings four views into one place, and internal notifications alert the team when a new lead comes in through the site. Campaign contact filtering was added so outreach reaches the right roles at each school, and the schools database was enriched with head-of-school contacts to support the outreach calls. In parallel, the team is migrating roughly 40,000 donor contacts out of Virtuous, CCV's donor CRM, with cleanup underway since less than half are estimated active. Planning has started on the fund management side, and a set of questions on how donations flow is being prepared for the client to confirm before that build begins.

Task Owner When Notes
Email marketing go-live AIDM This week The mailbox question is resolved and the inbox is confirmed. The final email copy is the last item before sending goes live.
Fund management migration AIDM and CCV In progress The fund management process is confirmed and the weekly reconciliation approach is sound. Two items are open before the build: finance leadership visibility into the donor dashboard, and confirmation of which financial reports must continue after cutover.
School outreach through the CRM AIDM and CCV In progress The School Partnership Director is now the primary booking contact for school administrators, is linked into the CRM, is working through training on the tool, and is running outreach with the earlier restrictions removed. A phone outreach tool he is comfortable with is being evaluated to connect into the CRM.
CEN Ohio affiliate program retirement AIDM August CEN's Ohio-based affiliate program, about 220 schools on Theodore, retires alongside the Virtuous cancellation. A transfer and training campaign moves those schools onto the new CRM, timed as a renewal moment.
CRM full onboarding AIDM Third week of August Target for the CCV communications team to be fully onboarded onto the new CRM tool, ahead of the Virtuous subscription ending.
Donor data migration AIDM and CCV Before Sep 10 Migrating roughly 40,000 donor contacts out of Virtuous, CCV's donor CRM and separate from the CEN CRM, with cleanup underway since less than half are estimated active. The cutover has to complete before the Virtuous subscription ends in September. The build sequence depends on the fund management questions being confirmed first.
CRM reports page AIDM Done The reports page now brings four views into one place: overview, SGO health, campaigns, and expired logins.
Sandbox data in the CRM AIDM Done Sandbox signup and usage data now flows into the CRM, so the CEN team can see who signed up and what they did.
Staff notifications AIDM Done The team is now alerted automatically when a new lead comes in through the site.
Campaign contact filtering AIDM Done Outreach can now be filtered to the right roles at each school, and the schools database was enriched with head-of-school contacts to support the calls.
info@censgo.org inbox AIDM Done Confirmed on July 17 as a full mailbox, with access arranged for the CEN team member who will monitor it.
Email marketing automation built AIDM Done Visual editor, shared template library, and automatic routing of form submissions to the donor, school, and general teams. Technical issues resolved before go-live and a testing environment stood up on the data center CCV selected.
CEN CRM live in production AIDM Done Live at crm.censgo.org with secure hosting: schools and contacts database, call tracking, groups and segments, campaign builder, and Google sign-in.
School contact list AIDM Done Cleaned, verified, and built to 14,000 schools with heads-of-school names and verified emails. Ready for use.

Search visibility, podcast, social automation

The CEN SGO site completed a full search-visibility pass last week. Titles and meta descriptions are in place across the whole site, structured data was generated for every page and post and validated against Google's testing tool, and automatic structured-data generation now covers resources and blog posts as they are added. Every image has alt text, the site and sitemap were submitted to Google Search Console for indexing, and Google Analytics 4 is connected, so traffic and search performance are measurable from here. The new School Partnership Director is on the site with his own booking page, and the team's LinkedIn profiles were brought in line. The Narrative podcast document went to the client on July 15 and was approved on July 16, and the recommendations in it are being worked through now.

Task Owner When Notes
Booking page embed AIDM This week The School Partnership Director's booking page embed code arrived on July 17 and goes onto the CEN SGO site this week.
Podcast recommendations AIDM and CCV In progress The Narrative document is approved and the recommendations are being worked through. School marketing kit AIDM Through summer A ready kit for each school: profile, branding, flyers, social posts, standard emails, and guides to promote the scholarship program to families.
Remaining CEN team profiles on the new site AIDM and CCV Open Two further CEN team members still need their profiles and booking pages on the new CEN SGO site. Both are in a holding pattern now that the School Partnership Director's page is live. Open item.
Site search visibility AIDM Done Titles and meta descriptions across the whole site, structured data generated for every page and post and validated with Google's testing tool, automatic structured-data generation for resources and blog posts, and alt text on every image.
Search Console and analytics AIDM Done The site and sitemap were submitted to Google Search Console for indexing, Google Analytics 4 is connected, and analytics access was granted to AIDM on July 16.
School Partnership Director on the site AIDM Done Added across the website with his own booking page, and the team's LinkedIn profiles brought in line.
Donor signup form AIDM Done A separate donor signup form was added and form routing to the CRM was updated.
